New Clock

All the clocks used for capturing the employee's clock in and out time must be added to the application. Once the clock is installed & configured, these clock details need to be added to the application. These clocks need to be synchronized with the application so that all the captured clock in and out time is transferred from the clock to the application for processing timecards.

Similarly, once the employee details are added and their fingerprints are taken, depending on their location, the clock needs to be assigned to each one of them.

 

To add a clock, click on Clocks below Setup.

Click on New.

 

The clock screen has two sections: Clock Details and Employee Assignments

 

Clock Details

  1. Serial Number (Required) - Enter the clock's serial number.

Note: The Serial Number of the clock is the primary key and cannot be changed once entered (only able to be set during new clock creation). If the Serial number is entered incorrectly, then a new clock record needs to be created with the correct value and the other one deleted.

  1. Time Zone (Required) - Select the time zone of the location where the clock is installed. By default, it will display the time zone selected on the Localization settings. Note that you can change the time zone settings for each clock and save.
  2. Site Name - Select the site name where the clock is installed. The new site is added in the new site screen. Refer to the site restriction on the role screen.
  3. Description - Enter a brief description.
  4. Fingerprint Support - Check this checkbox if the clock supports the fingerprint.

 

Employee Assignments

  1. Assigned to clock - Display Yes or No. Yes means the clock is assigned to the employee and No indicates that the clock is not assigned to the employee.
  2. Clock Status - Clock Status is to show if a request to add an employee to a clock has been processed or is still pending. The status would be either "In Queue" or "On Clock". You can view the status on the Edit Employee screen or the Edit Clock screen. 
  3. Employee Number - Display the employee number.
  4. Clock User ID - Display the clock user ID. Note: The checkbox will be disabled if the clock user ID is not assigned to an employee. The message "Clock User ID is required" will be displayed on hover.

  5. First Name, Last Name - Display the employee's name.
  6. Site - Display the employee's site name.
  7. Department - Displays the department's name/code.
  8. Manager - Display the manager's name. 
  9. Filter - Each column on the table has a sorting and a search option. You will see a search text box in each column where you can type and search. 

Assign Clocks

  1. To assign employees to a clock, check the checkboxes to select the employees. 
  2. Click Save.

Note: The clock is not immediately assigned. It is assigned only when you click on the save button. Also, note that it is possible to assign a clock to an employee who does not have a user record and who may not actually log into PreciseTime.

Note - A maximum of 10K users can be assigned to a clock. We also highly recommend users use a filter to filter the employees and then use that master checkbox to select the employees matching the current filter criteria.
